1. Information We Collect
EventWiz collects the following types of information to facilitate event planning and vendor-customer connections:
- Account Information: Name, email address, phone number, professional profile details (for Vendors), and account preferences
- Transaction Data: Booking details, payment amounts, service dates, and communication history
- Usage Data: IP addresses, browser type, device information, pages visited, and features used
- Location Data: General geographic location for service matching (with your consent)
- Customer Support: Any information you provide when contacting our support team
2. How We Use Your Information
Your information is used to:
- Create and manage your EventWiz account
- Facilitate connections and transactions between Vendors and Customers
- Process payments and coordinate service bookings
- Communicate important updates, confirmations, and platform notifications
- Improve platform features, security, and user experience
- Comply with legal obligations and enforce our Terms of Service
- Prevent fraud and unauthorized activity
3. Data Storage & Security
EventWiz stores your data on secure cloud infrastructure. Our database provider encrypts it at rest with AES-256, and it travels between your device and our services over encrypted connections (TLS 1.2 or higher). Your information is retained:
- For the duration of your active account plus 24 months after inactivity
- Transaction records are retained for 7 years as required by financial regulations
- Communications and support tickets are retained for 36 months
You may request account deletion at any time by contacting hello@eventwiz.ai. Upon deletion, personal data is removed within 90 days, with the exception of transaction records required by law.
4. Information Sharing
EventWiz shares your information only in the following circumstances:
- Between Vendors and Customers: When you book or provide a service, relevant contact and transaction details are shared to fulfil the booking
- Service Providers: Trusted third parties that help us operate (payment processors, hosting, analytics) under strict confidentiality agreements
- Legal Compliance: When required by law, court order, or to protect the rights and safety of EventWiz and our users
- Business Transfers: In connection with a merger, acquisition, or sale of assets (with notice to affected users)
- The venue hosting your event: if the event you are invited to is held at a venue that uses EventWiz, that venue can see guest names, the table each guest is seated at, and dietary needs — so it can seat you, cater for you and find your name on the door on the night. The venue is not shown your email address or your phone number.
We do not sell your personal information to third parties for marketing purposes.
5. Your Rights & Choices (Australian Privacy Act 1988)
EventWiz complies with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). Under Australian privacy law, you have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate or outdated information
- Make a complaint about a breach of the Australian Privacy Principles
- Opt out of marketing communications at any time
To get a copy of the personal information we hold about you, or to correct or delete it, use Settings > Your data, or email hello@eventwiz.ai. We don’t charge for these requests, and we’ll respond within 30 days. If we can’t give you something you ask for, we’ll tell you why in writing and how you can complain.
6. Cookies & Tracking Technologies
EventWiz uses cookies and similar technologies to:
- Keep you logged in and maintain session security
- Remember your preferences and settings
- Analyse platform usage and improve performance
- Prevent fraud and abuse
You can control cookie settings through your browser preferences. Disabling essential cookies may impact platform functionality.
7. Screen Recordings
Screen recording is off unless you turn it on. If you turn it on, we record how you move through EventWiz while you are signed in — the pages you open, where you click and scroll — so we can see where the product is hard to use. Anything you type, and other people’s personal details shown on your screen, are hidden in these recordings. They are stored with the rest of your EventWiz data and deleted after 30 days. We do not record guests viewing an invitation or an RSVP page.
Nothing is recorded until you turn screen recording on in Settings > Your data, and you can turn it off again at any time.
8. Children's Privacy
EventWiz is not intended for individuals under 13 years of age. We do not knowingly collect personal information from children under 13. If we discover such data, we will delete it immediately. Parents or guardians who believe a child has provided us with information should contact hello@eventwiz.ai.
9. Data Storage and International Transfers
EventWiz operates from Australia, and your information is stored in Australia. Our database and file storage — your account, your events, guest lists and photos — are hosted in Sydney. The servers that run the EventWiz website and handle your requests are also in Sydney, next to our database. Some of your information is still sent overseas: the emails we send to you and your guests are sent through a service located in Japan. A few features look up limited details with other services — for example, a venue's address is looked up with a map service to find its location — and those services may be located in other countries. The countries we are likely to disclose your information to are therefore Japan and the United States. When transferring personal information outside Australia, we comply with Australian Privacy Principle 8 and take reasonable steps to make sure it is handled consistently with the Australian Privacy Principles.
10. Data Breach Notification
In the event of an eligible data breach under the Notifiable Data Breaches (NDB) scheme (Part IIIC of the Privacy Act 1988), EventWiz will promptly assess the breach and notify affected individuals and the Office of the Australian Information Commissioner (OAIC) as required by law.
11. Updates to This Policy
We may update this Privacy Policy occasionally. Material changes will be notified via email (to the address associated with your account) and platform notification at least 30 days in advance. The "Last Updated" date at the top indicates when changes become effective.
12. Complaints and Contact Us
If you believe we have breached the Australian Privacy Principles, please contact us. You also have the right to lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au.
